Help

ReelMinder keeps track of your associations' deadlines and sends you one email every Monday morning with what's overdue, due this week, and coming up. That's it.

Getting started

  1. Add your associations. On the Associations page, type their names, one per line.
  2. Add deadlines. Click "+ Add deadline," pick or type what it is (like "Insurance renewal"), then tick every association it applies to and enter each one's due date. One form can add the same deadline to all your associations at once.
  3. Confirm your email. Right after you sign up, we email you a link. Click it, then "Yes, confirm my email." Your Monday emails and team invites wait until you do. No email? Check your spam folder, or use "Send it again" at the top of any page.
  4. That's it. Your first Monday email arrives next Monday at 7:00 a.m. To see it now, click "Preview my Monday email" on Home.

You set your own dates. Requirements vary by state and governing documents. ReelMinder never works out deadlines from laws or statutes. The example names (like "Annual meeting") only save typing; they don't come with dates or rules.

The Monday email

Every Monday at 7:00 a.m. in your company's time zone, each person on the team gets one email with the deadlines assigned to them:

  • Overdue: the due date has passed and it hasn't been marked done.
  • Due this week: due between Monday and Sunday. (On weekends, Home looks ahead to the coming week, just like Monday's email.)
  • Coming up: due later, but its "Start reminding me" time has arrived.

Each item has a Mark done button. It opens a page showing just that deadline, where you confirm. Each button works once and expires after 14 days. After that, sign in to mark it done.

On weeks with nothing to report, you get a short "All clear" email so you know nothing slipped. You can turn that off in Settings. Account owners can choose in Settings to get everyone's deadlines in their email instead of only their own.

The same three groups are on your Home page, plus "Later" for deadlines whose reminders haven't started yet.

Deadlines and repeats

Repeats: doesn't repeat, monthly, every 3 months, every 6 months, yearly, every 2 years, every 3 years, every 5 years, every 10 years. When you mark a repeating deadline done, the next one is scheduled from the original due date, not the day you clicked. So a deadline due on the 15th stays on the 15th even if you finish it early or late. A date on the 31st moves to the last day of shorter months and back again (Jan 31, Feb 28, Mar 31…); a date on the 29th or 30th does the same in February.

Start reminding me: 1 week before, 2 weeks before, 30 days before, 60 days before, 90 days before. This is when the deadline starts showing up under "Coming up." The default is 30 days.

Made a mistake? Right after you mark something done, there's an "Undo" button, and for 14 days after, there's one in the deadline's history too (handy if you tapped Mark done in an email). Finished one-time deadlines are listed under Done on their association's page. You can also open any deadline to change its date, who it's assigned to, or its notes. Changing the date of a repeating deadline starts the repeat over from the new date. Each deadline keeps a history of when it was marked done and by whom.

Stopped managing an association? Open it and click "Archive." Its deadlines are hidden and left out of Monday emails. Nothing is deleted, and you can restore it anytime from the "Archived" list at the bottom of the Associations page.

Your team

The account owner can invite people from the Team page. Each person gets their own Monday email with the deadlines assigned to them. Anyone on the team can add, edit, and mark done deadlines.

When someone leaves, the owner removes them on the Team page and chooses who takes over their deadlines. They lose access right away. If a portfolio changes hands, "Move someone's deadlines" moves all of one person's deadlines to someone else in one step.

Plans and billing

  • 30-day free trial. No credit card needed.
  • Each person on the team is a seat: $100 per year or $10 per month.
  • Adding someone during a billing period is charged right away for the rest of the period. Removing someone lowers your bill from the next renewal (no refunds), and if you replace them before then, there's no extra charge.
  • The owner manages the plan, card, and invoices, and can cancel, from Settings.
  • To switch between monthly and yearly, use "Switch to yearly" or "Switch to monthly" in Settings. It takes effect right away. Going yearly charges the yearly price minus the unused part of your month. Going monthly turns the unused part of your year into credit that pays your monthly bills (no refunds). During a free trial, nothing is charged until the trial ends. Stripe shows the exact amount before you confirm.
  • If a trial ends without a plan, or a plan ends, Monday emails stop and we keep your data for 30 days so you can download it or pick a plan. We email the owner 7 days before it's deleted.
  • You can download a spreadsheet of all your associations and deadlines anytime from Settings.

What it doesn't do

To stay simple, ReelMinder doesn't sync with calendars, email board members or vendors, send texts or daily emails, store documents, or use AI. It never tells you what the law requires: you set your own dates.

Signing in

You sign in with your Longline Labs account: Continue with Longline Labs on the sign-in page. It's one account for every Longline Labs app. Its name, email address, password and two-step sign-in are managed at account.longlinelabs.com, which is also where you go if you forget your password. Settings has the link too.

New to ReelMinder? Start your free trial, create a Longline Labs account if you don't have one, and name your company. Invited to a team? Open the invite email's button and continue with the Longline Labs account for the address it was sent to.
